Privacy Policy

This policy explains what personal information Figrd collects, why we collect it, and what we do with it. It's written to be readable — not to hide anything in legal language.
Figrd is operated by David Frederick William Coombs (ABN 62 646 753 794), trading as Figrd, based in Victoria, Australia. When we say “we”, “us”, or “Figrd” in this policy, that's who we mean.
This policy is written in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It also covers our use of Google's APIs.
What information we collect
Account information
When you sign up, we collect your name, email address, business name, and ABN. We use this to create and manage your account, and to populate your quotes and invoices.
Business information you enter
To help you calculate costs and quote accurately, you can enter your home or business address (used to calculate travel distances), vehicle details (used to estimate fuel costs), staff wages and overhead costs, and client contact details including names, emails, phone numbers, and addresses. You decide what to enter. We use it only to provide the features you're using.
Gmail access
If you connect your Google account to send quotes and invoices through Gmail, we request the gmail.send permission. Here's exactly what that means:
- We send emails from your Gmail address when you send a quote or invoice.
- We never read your inbox.
- We never store the content of emails you send through Figrd.
- We record that a send happened — the timestamp, subject line, and up to 200 characters of preview — so you can track what you've sent. The email body beyond that preview is immediately discarded.
- Your Google OAuth token is stored securely and used only for sending emails on your behalf.
- You can disconnect your Google account at any time through your Figrd account settings or through your Google account at myaccount.google.com/permissions.
Figrd's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Payment information
Payments are processed by Stripe. When you enter card details, they go directly to Stripe — we never see or store your full card number. Stripe's privacy policy is at stripe.com/au/privacy.
Usage information
We collect basic usage logs — pages visited, features used, error events — to keep the service running and fix problems. This data doesn't include the content of your jobs, quotes, or client information.
Anonymous aggregate data (opt-in only)
If you opt in (you can opt out any time in settings), we use anonymised data from your quotes — things like job type, region, and margin band — to build industry benchmarks. This data has no connection to your account name, your clients, or your business. You can't be identified from it.
How we store your data
Your data is stored on Supabase database servers in Sydney, Australia. The Figrd web application is hosted on Vercel, primarily from their Sydney region, though Vercel's content delivery network operates globally for performance.
We use industry-standard encryption in transit (HTTPS/TLS) and at rest. Your Google OAuth token and any stored credentials are encrypted before storage.
Who we share your data with
We don't sell your data. We don't share it with advertisers or lead generation companies. We share it only with the services we need to operate Figrd:
Some of our providers — Stripe, Resend, and Google — are based in the United States. By using Figrd, you consent to your data being processed by these providers as described. We only share what each provider needs to perform their function.
Accessing and correcting your information
You can update most of your personal information directly in your account settings. To request access to all data we hold about you, or to correct something you can't update yourself, email us at privacy@figrd.com.au. We'll respond within 30 days.
We may need to verify your identity before we provide access.
When you delete your account
When you delete your Figrd account, we remove your data from our database. This is a hard delete — not an archive, not a soft flag, not “retained for 12 months in case you come back.” Your client list, job history, quotes, and personal information are gone.
The only exception is data we're legally required to retain — for example, records of subscription transactions for tax purposes. We retain the minimum required and no more.
Complaints
If you have a concern about how we've handled your personal information, email us at privacy@figrd.com.au. We'll acknowledge your complaint within 5 business days and aim to resolve it within 30 days.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Changes to this policy
If we make material changes to this policy, we'll notify you by email before the changes take effect and update the “last updated” date at the top. Continued use of Figrd after that point means you accept the updated policy.
